Seminarhof Drawehn

Booking operations for a seminar house

A 23-room house that rents itself out whole, to groups, by the week.

A seminar house in the Wendland. Yoga retreats, choir weekends and therapy trainings book the whole place for a few days and bring their own programme. The platform replaces a shared Excel workbook and a lot of email: an enquiry arrives from the public site, an admin approves it into a booking, a nightly sweep chases the contract and the deposit, and the kitchen cooks from the participant list.

  • Sarah

    Administrator

Runs the enquiries and the calendar.

  • Christina

    Owner

Runs the money and still issues the real invoices through DATEV.

  • The organiser

    Client

Fills in the binding booking form from a link, never a login.

  • A stranger

    Public enquirer

Asks whether the house is free, with no account and several candidate dates.

Un hito a la vez.

La app se construyó por pasos, cada uno acordado antes de empezar a trabajar en él.

  1. 1

    The public enquiry

The only availability question the public side answers is whether the house is free that week. Nobody books room 12 for a night.

  2. 2

    Enquiry triage

An admin approves, waitlists or declines. Approval is what creates the booking and the client.

  3. 3

    The binding booking form

The organiser fills in the form that legally commits them, reached by a link rather than a login.

  4. 4

    The nightly lifecycle sweep

One idempotent daily pass that chases the contract and the deposit and ends finished bookings.

  5. 5

    The participant list

Every person in the group as a row, with the diet and allergy detail the kitchen cooks from.

  6. 6

    The deposit and the invoice

Recording that the deposit landed is what confirms a booking. The rest mirrors DATEV rather than replacing it.
